a better way to keep track of flight information...

Here are my recommendations and comments.



I. Introduction: Basic outlines and objectives of Pre-Conference

II. Selection of Subcommittee & co-chairs

III. Participants

- Overview of participant demographics

- Application design



I think the application included questions that were irrelevant to the
selection process. Also, lots of applicants weren't clear on scholarships or
funding and it was a pain to follow up with them on that, so probably next
time the scholarship part of the application should ask for more info. The
form should have a note to make clear that the Pre-conference application is
totally different form the IAS scholarship application.





- Application review & Process - Database records



Reviewing and recording all the info is a lot of work. It'd be great if next
time there was an online application form and some kind of automatic data
base that records all the information. It may sound complicated but it's not
that much of a trouble.

It'd be a good idea to be very specific with participants and let them know
clearly since the very beginning that they need to arrange for their flights
with IAS or whoever is sponsoring them.







- Communication with participants leading up the conference



Keep a list of all emails separate from the participants list. this will
help when sending out mass emails.



IV. Presenters

- Overview of presenters and sessions

- Presenter recruitment & selection





- Feedback on sessions; gaps and successes



I think most of the sessions were a little too basic.



V. Logistics

- Housing



I agree with Sarah, one hotel would make things easier.



- Food



Food was so bad at the PC venue!



- Travel

I don't think traveling from the hotels to the venue was a huge problem, but
having people at two different hotels made it complicated.



- Coordination with IAS





VI. During the Pre-Conference

- Registration



Registration was a little complicated. It would help if next time there were
computers available to register ppl! Searching on the hard copies took lots
of time. Make sure there are enough supplies; we ran out of badges and
programs.



- Volunteers

Try to have as many bilingual volunteers as possible.



- Important roles

Designate roles for sub-committee members in advance.





VII. Outcomes



- Presentation of data from evaluations

- Presentation of other feedback

- Conclusions and final recommendations
