hey aleza,
here's my feedback!
> i think the evaluation should include something about translation and how

> conference is in vienna...
> I. Introduction: Basic outlines and objectives of Pre-Conference
>
> II. Selection of Subcommittee & co-chairs
>
> III. Participants
> - Overview of participant demographics
difficulty in getting visas, especially for african participants
> - Application design
the application should be shorter, as we didn't look at many of the longer
questions. it should also include a "summary" section at the beginning that
includes all of the information, in one place/section, that we want to
record for the pre-conference database.
> - Application review & Process
i would recommend having a more streamlined application process in the
future. perhaps having set dates to let people in off of the waitlist.
perhaps one every three weeks from the initial deadline until one week
before the start of the conference.
> - Database records
have a waitlist from the beginning of the process, and don't accept people
until the first deadline for apps has passed! this might help ensure the
ability to pick participants if there are too many applications
> - Communication with participants leading up the conference
create a list of all the e-mails to facilitate sending out mass e-mails.

> IV. Presenters
> - Overview of presenters and sessions
> - Presenter recruitment & selection
the presenter application should ask what language the session will be given
in, where the presenters are from, and whether the presenters have also
applied to be pre-conference participants (assuming that they are youth)
> - Feedback on sessions; gaps and successes
we got feedback that the sessions were too basic...maybe try to have a bit
more of an in depth application. some of the presenters--even the ones we
chose--didn't really provide a lot of information.

> V. Logistics
> - Housing
one hotel would make things much easier, as would having the hotels and the
venue much closer to one another...but this is obviously not always
possible...
> - Food
having more food, especially at breaks, would be great!
> - Travel
> - Coordination with IAS
i know that this created a lot of problems, with people not notifying the
IAS of their pre-conference participation. is there a way that we could
facilitate this from the beginning of the process??
>
> VI. During the Pre-Conference
> - Registration
this was so hectic! maybe it would be easier to have everyone--including
people staying in the official pre-conference hotels--register at the
pre-conference on the first day. people could just be provided with a one
pager with logistical information when they check into the official
pre-conference hotels.
> - Volunteers
> - Important roles
pre-conference subcommittee members should have more defined roles at the
pre-conference itself, although this may be difficult due to language
differences, etc...
>
> VII. Outcomes
>
> - Presentation of data from evaluations
> - Presentation of other feedback
> - Conclusions and final recommendations
